Coordinating a Yearly MedinaCHF Party – Here’s some information to guide you
Coordinating one of our yearly parties counts towards your one required event. :)
Type up the post with the necessary information (follow any previous example if you’d like).
-Date and Time
-Location (This is typically provided by me; no need to find a location unless you really want to. Usually it's either at a gym, bowling alley, park or library.)
-Information about arrival and clean up
-What to bring and how to respond (via comment below or Google Doc within posting
-Include your name, how many children and what you are bringing
-Other needs:
-Volunteers to help coordinate/help with any organized games (or crafting table for younger children, etc.)
-Volunteer to bless the food
Keep track of who all is attending and what everyone is bringing somewhere in the post and update periodically. Either update the actual posting (see below) or create a ‘live’ Google Doc that will update automatically as people sign up.
Feel free to be creative with party activities and ideas. This example is only a guide and doesn’t need to be followed exactly but can be if that is what you are comfortable with.
Also, the children seem to enjoy time for ‘free play’. I would not plan on the entire party being organized games, etc. 😊 Please reach out with any questions you may have.

EXAMPLE PARTY POSTINGS:
HARVEST PARTY 11/3/22
Hi everyone! I’m excited to be coordinating this year’s Harvest Party. It will be a fun time with fellowship and great food, I’m sure!! 😊
Date: November 3, 2022 Time: 1:00 - 4:30 p.m.
Place: Medina Library – Meeting Rooms A & B
I’m asking everyone to arrive a little early to set up and then we will eat around 1:15 so food doesn’t get cold. What you need to bring to help: a tablecloth (disposable or cloth), and please post here what you are bringing to share (main dish, side dish, drinks, or dessert) and how many will be coming. We also will need some paper plates, plastic utensils, and napkins too. I will review the posting periodically and provide an updated list of items being brought. Hopefully this will help with having a nice variety of dishes, etc. and not too many duplicates. 😉 PLEASE NO NUTS, for safety of all.
***One more thing – everyone please plan to stay at the end to help clean up – this is so helpful!! ***
Other needs:
· 2 people to coordinate crafts for the young kids -- bring materials needed, ask others to volunteer to bring some materials, and/or possibly help to run them. Teens can volunteer too if they’d like!
· 2 people to coordinate games for the teens -- bring and/or ask others to help them bring items needed for games
· 1 person to bless the food
What you need to do as soon as possible: Please post what food item you will bring (and/or any other needed items you can bring), what you can help with (if possible), and how many people are coming.

Hi all! Looking forward to celebrating the birth of Jesus and this time of year together! For anyone new, the Christmas party is just a fun low key time to fellowship and eat, have the kids do a small craft and hang out/do a fun gift exchange. Please read all the details below and post in the comments how many kids will be attending with you and ages. Also, post what items you can bring from the list or if you are willing to help lead the craft and what you need for that. I will update as food items and paper products etc are volunteered for so we know what is still needed. If you can lead the craft, please create a separate post with details so we can help you get the things you need. Thanks ladies!
The following items are needed:
· rectangular tablecloths (disposable or cloth) to help cover tables (if each family can bring one that would be great!)
· Silverware, plates, cups and napkins
· Drinks
· An appetizer or dessert to share
· A wrapped white elephant gift for the kids/teen exchange (see description below)
· A wrapped ornament for the moms gift exchange (see description below)
· Board games or card games if you have any to share in case we need extra activities for the kids during our time together.
· One or two moms to plan and lead a Christmas craft (see description below).
Christmas Craft:
I need one or two mamas to plan and lead a simple Christmas craft for the kids. Please post if you are willing to take this on. We can all bring items to help if you post a list of what you need. I have a ton of pine branches just FYI! (For reference, Last year we brought pine branches, pine cones, ribbon, twine and paper plates and made wreaths. Anything you come up with will be great! Feel free to keep it simple.)
White elephant gift exchange info:
This year we are going to do things a little different. I dialogued with some of you and I know finances are tighter than usual around this time. In an effort to respect that but still do something fun w the kids, we want to try something new! In the past we have had each kid bring something worth $5 or less. This year, we just want each kiddo to bring something silly, fun, useful, unique or practical that you already own to gift to another kid their age. We will do one gift exchange for 12+ and one for the kids that are under 12. We have had so much fun with this in our youth and children’s ministries that my family has been a part of in the past. If you feel the need to go buy something, Good Will or Salvation Army or Dollar Tree are good find spots but totally not necessary. There is no right or wrong here. Don’t stress out over it 😝 I will do something similar to what Kim did last year and have someone read aloud a Christmas nativity left-right poem during which the kids will pass the gifts right or left as the story is read until the end.
Mom’s Ornament Exchange:
If you want to be part of the moms ornament exchange, please bring a wrapped ornament. Homemade or regifted are totally fine! Each mom will just grab one at the end to take home. We want you to have something beautiful and fun too! ❤️
Setup and Tear Down:
I will need help setting up tables and getting the room ready at 2. If each family can bring a tablecloth, it’s always really helpful. Also, please plan to stay at 4:30 to help clean up if you are able. We will need to tear down tables, chairs and vacuum. Maybe a mom can take the kids to play in the kids area while we do that.
